This document describes the use of information by Veteran’s PATH (“VP”) regarding the veterans and families we serve, financial supporters, supporters under the age of 18, and general visitors to our website. Any questions pertaining to your privacy or personal data as it pertains to the use of our website or programs can be directed to info@veteranspath.org.

We use your personal information to improve the site and the quality of our content. We also use personal information to deliver certain programs which may include the delivery of emails or other communications from VP.  By using the Site, you agree to the collection and use of information in accordance with this policy.

General User Privacy Policy

This privacy policy applies to all users and general users of the VP website and describes how VP protects the personal information you provide when you use this website and our other online communication methods.

VP is committed to ensuring that your privacy is protected. It is our goal that you fully understand how we collect information, how we use that information, and the steps we’ve taken to protect that information. What type of information does VP collect?

There are two basic types of information that VP might collect: personal and non-personal information.

As you browse the VP website, you may opt to provide VP with personal information such as your name, address, phone number, or email address.

VP may also collect non-personal information from you such as an internet protocol address (typically referred to as an “IP address” and defined below) and browsing variables (like your web browser, referral links, or how much time you spent at our website). Although this information may be used to identify you, VP typically uses this information to improve your experience and the experience of other visitors to our website. What’s an IP address? 

An IP address is a unique number, assigned to each and every computer and other devices on the Internet. Your computer, your phone, your e-reader, and other electronic devices, are all assigned IP addresses.

When does VP collect this information?

We collect non-personal information from you as you use any of the pages on our website. We collect personal information from you only when you specifically provide it to us, such as completing a contact form, event registration form, or application.

How does VP use the information we collect?

VP uses information from different site visitors in different ways. We use the information provided to us through the donation process in accordance with the Donor Privacy Policy; we use the information provided to us by the veterans and caregivers we serve in accordance with the Veterans and Caregiver Privacy Policy. Both policies may be found below.

We may also use personal information provided by general users of our website; for example, in the case of a general user filling in a contact form with a general question.

We may also use your personal and non-personal information in the following ways:

  • Entering your information into our databases for internal recordkeeping, reporting, and data analysis;
  • Communicating with you to obtain your input, provide information about our programs and events, or request contributions (provided you have opted to receive such communications);
  • Improving our programs and services;
  • Customizing our website according to your interests;
  • Sharing information with contracted third parties who help us manage our website, operations and databases, and who assist us with our marketing efforts; and
  • Sharing information with third parties as required by law, or a part of a legal process;

Data Analytics Tracking

We use Google Analytics, Facebook, and Bing Analytics tracking scripts and cookies to monitor page visits, demographics, and user sessions and behaviors to improve the quality of our site and exposure of our content. No personally identifiable data is transferred in this data. The information is non-personal in nature.

Targeted Advertising

We may run digital ads on Google, Facebook or other networks with targeted digital advertising. Such targeted advertising may use cookies or other session data from a prior visit or interaction with our website or social media channels. This enables us to make sure our message and offering reaches the right people. No personally identifiable data is transferred in this data.

We also reserve the right to use non-personal information, such as an IP address, to identify a user when we believe it is necessary to protect the compelling interests of our websites, the people we serve, our donors, our employees, or others, or to comply with laws, court orders, or law enforcement requests.

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site or have used one of our , or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Online Chat

Contact or Registration Forms

We host contact forms and event registration forms which do collect personal information such as name and contact information. We do not sell this information and only share it with our team to perform the necessary work related to this inquiry. Form submissions are stored on our WPEngine webserver and emailed to our team who use Gmail and Google Workspaces.

Does VP share my information?

VP may share your personal and non-personal information as discussed herein. We do not sell or rent the personal information of our general website users for profit. Additionally, we do not share mobile phone numbers unless you specifically authorize us to do so (or unless we are required to do so by applicable law or regulation).

Visitor comments may be checked through an automated spam detection service.

Does VP track my online activity while I’m not on the VP site?

Cookies and other technology may be used to track non-personal information about your web-browsing habits. For example, if a significant portion of our visitors all browses to the same website immediately after visiting us, we may use this information to improve your experience at our site.

VP respects web browser “do not track” signals and other mechanisms that provide you the ability to opt out of having your personal information or online activities collected. But remember, unless you have selected the “do not track” function in your web browser, third parties (not just VP) may collect personal information about your online activities over time and across different websites.

Yes, but only If you provide us with your contact information in an email, telephone call, contact form or program registration form. However, if you would like not to receive these messages, you can opt out of having your personal information used for certain purposes when we ask for your contact information.

Links to other websites and third-party services

Sometimes we’ll provide you with a link to another website or service. We typically do this in order to provide you with additional information about one of our sponsors, partners, or supporters.

VP may also include other electronic services on our website. For example, this could include a tool that allows you to contact your local politicians, or to create a custom message to send to veterans. These services are typically provided by third parties and may require you to agree to that service provider’s own privacy statement and terms of use. This policy – the one you’re reading right now – does not cover third-party services or how those third parties may use the information you provide them. Do you collect information about minors?

We do not generally seek information provided by minors but there may be limited circumstances where VP collects information from general users under the age of 18. Please see our Minor Privacy Policy below.

Veteran’s PATH Program Participants

The Program Participant portion of this Privacy Policy applies to veterans, active service, instructors, family, and their caregivers (“program participants”) who register with VP as recipients of, or participants in, Veteran’s PATH’s programs and services. This may include those who inquire about, register for, apply for, or attend our programs and services. To the extent practicable, we use industry-standard safeguards to protect your data, including firewalls, physical safeguards, and encryption.

This policy describes how Veteran’s PATH protects information that program participants and their caregivers provide in conjunction with their registration with VP, and applies regardless of whether the registration occurred online, over the phone, or in person.

This policy may supplement the General User Privacy Policy (above), which covers all users of the VP website. Although this policy is intended to complement the General User Privacy Policy, this policy applies specifically to information you provide us in conjunction with your registration or your status as a program participant.

It is our goal that you fully understand how we collect information, how we use that information, and the steps we’ve taken to protect that information. What type of information does VP collect?

VP collects different information depending on the program and in some cases the program participant. In many cases, this information contains sensitive private personal information and/or private health information. For these reasons, we take care to use HIPAA-compliant data partners and storage. 

We may ask for your service information, such as your branch, rank, and service dates. We will also ask for your contact information, such as name, email address, telephone number, and mailing address.

Depending on the program offered, we may also ask other identifying questions, such as date of birth, gender, ethnicity, and type and location of an injury if you report one. Lastly, we may ask you for eligibility documentation. This may include a DD214, VA ratings decision, enlisted record brief or officer record brief, medical evaluation board or physical evaluation board, current unit orders to a warrior transition unit or battalion, line of duty documentation, or Purple Heart orders or citation.

Once you are registered, depending on your level of involvement with our services, we may ask you for additional information. This may include questions about your individual hobbies and interests, VA or health insurance details, healthcare practitioner contact details, benefits claims details, basic financial information, basic physical and mental fitness details, and other information that may be relevant to the particular program or service you are interested in.

For our overnight outings and retreats, we often require the more personal information to help make the participants stay safe and healthy. This may include gathering information on allergies, dietary restrictions, health conditions or limitations, and emergency contact information.

When does VP collect this information?

We collect your contact information and service details when you register or apply for VP’s programs and services. The data may differ depending on the program. This can be done online through our website or email, in person with a VP employee, or over the phone. We may collect the additional information mentioned above through conversations with you. Though you are not required to provide this information, program quality or your ability to participate in a particular program or service may be impacted if we don’t have relevant information. For example, if you are interested in participating in one of our 5 day retreats, we may ask you for emergency contact details and allergies.

We may also be provided information about you from other groups who refer you to us to take advantage of our programs and services. They will typically notify you and seek your consent before providing us with such information. No matter how we receive your information, be assured we will use it in accordance with this policy.

How does VP use the information we collect?

Generally, VP uses this information to tailor our programs and services to fit your needs. We will use your eligibility documentation to ensure whether you are eligible to receive VP’s program services.

We will use your contact information and other information that we collect for the following reasons:

  • For internal recordkeeping, reporting, and data analysis;
  • To communicate with you to obtain your input and provide information about our programs and services;
  • To improve our programs and services;
  • To customize our website according to your interests;
  • To share information with third parties or agencies who help us deliver our programs and services;
  • To share information with third parties who deliver their own programs and services to veterans and their caregivers;
  • As required by law or as part of legal action.

How does VP share my information?

VP shares your personal and non-personal information only as discussed above. We will not share your information with a third party that does not provide services (or help us provide services) to our program participants or general users.

We will never sell or rent your personal information

VP will not share your mobile phone number with a third party unless you specifically permit us to (or if we have to share it in order to comply with law or regulation). 

This policy does not apply to any information that you provide to these third parties, and we encourage you to ask those third parties any questions you may have about their use of your data.

How does VP secure my personal information?

We have put in place physical, electronic, and managerial procedures to safeguard and secure the information we collect. Records containing personal information are stored at secure facilities; our websites use SSL (a tool used to verify the legitimacy of a website); and we train our employees on how to treat your data securely. Additionally, when VP shares your information with third parties, VP takes reasonable steps to ensure that the third party has sufficient safeguards in place to protect your information.

Contact or Basic Registration Forms

We use WPEngine to host many of our basic event or program registration forms and general contact forms. The entries are stored within our WPEngine server and copies sent to our administrators using Google Workspaces and Gmail. Typically we do not ask for medical or health information in these forms. 

Personal Medical Information and HIPAA Compliance

We use Google Workspaces and Google Forms to collect and store personal health or medical information such as the data collected from some of our online program applications and registration forms. Will you use my information to contact me?

Yes. From time to time, a VP administrator, instructor, team members or employee may reach out to you to confirm your contact information and to facilitate programs and services. We will also send you regular information regarding programs and services available in your area. Our web server will also provide you with email notifications based on which forms you completed on our website or other online forms.

If you would like to stop receiving communications from us, please let us know by following the instructions included in the message.  This may include following the link contained in an email address (for example, an “unsubscribe” link at the bottom of the email), or texting “STOP” after receiving an automated text message from us.  Alternatively, you can email us at info@veteranspath.org.

Donor Privacy Policy

This Donor privacy policy applies to VP supporters and contributors and describes how VP uses information you provide when you make a donation to us or sign up to receive emails (the “Donation Process”). When you provide us your information, be assured that VP uses industry-standard security measures, including encryption, firewalls, and physical security to protect your data.

It is our goal that you fully understand how we collect information, how we use that information, and the steps we’ve taken to protect that information. We may also collect information as we communicate with you after your donation is made. Third parties may also share your information with VP, in accordance with applicable laws, rules, and standards. Minor Privacy Policy

This privacy policy applies to VP supporters who are under the age of 18. Note that when you, or your minor child or guardian, provide us information, VP will continue to use industry-standard security measures, including encryption, firewalls, and physical security to protect your data. In short, VP applies the same security measures to minor data as we do for our general supporters but uses the data for more limited purposes.  

VP collects data about minors wishing to support VP through specific channels designed to allow minor participation, such as during registration for any event where veteran families, spouses, and children are invited to attend. Does VP use information about children under 13 for any specific purposes?

VP treats information about children under 13 with special care. Children under 13 are not allowed to register themselves for any event. If you are registering a child under 13 for an event, VP strives to ensure that we communicate with that child only to provide communications about the event for which he or she is registered. It is VP policy to delete information about children under 13 approximately 30 days following the event for which they are registered.

Can I opt out of receiving messages and sharing of my information?

Yes. Please see information above in our Privacy Policy.

How does VP secure my personal information?

VP will use the same security methods as discussed above in our Privacy Policy.

Will you contact me if I give VP my information?

Yes. As discussed above, VP will send you information specifically about the event for which you are registered. You can opt out of receiving these messages as discussed above in the “Can I opt out of receiving messages and sharing of my information” section above. It is VP policy not to solicit monetary contributions from supporters under 18.

We reserve the right to update or change our Privacy Policy at any time and you should check this Privacy Policy periodically. Your continued use of the Site or Service after we post any modifications to the Privacy Policy on this page will constitute your acknowledgment of the modifications and your consent to abide and be bound by the modified Privacy Policy.

Changes to this policy

If we make any material changes to this Privacy Policy, we will notify you either through the email address you have provided us, or by placing a notice on our website.

This Privacy Policy is effective as of May 18, 2022 and will remain in effect except with respect to any changes in its provisions in the future, which will be in effect immediately after being posted on this page.
